Terms & Conditions

These Terms & Conditions apply to all workshops, online courses, eLearning programmes, products and services provided by Aromatherapy for Childbirth ("we", "our", "us"). Aromatherapy for Childbirth is a trading name of Time Wellness Ltd.

By booking a course, purchasing products, accessing our online learning platform or using our website, you agree to be bound by these Terms & Conditions.

Face-to-Face Training
Booking
Face-to-face workshops are delivered to organisations as commissioned group training sessions and are not sold on an individual delegate basis.
​
Workshop dates are confirmed once a booking has been agreed and any applicable booking requirements have been met.
Cancellations
If an organisation needs to cancel or postpone a workshop, we ask that as much notice as possible is provided.​ Where possible, we will work with the organisation to rearrange the workshop for a mutually convenient date.
​
Where cancellation cannot be avoided, any refund or cancellation charges will be agreed in accordance with the booking agreement or quotation provided to the organisation.
​
Unless otherwise stated, the following terms apply:

Cancellations made more than 28 days before the scheduled workshop date may be eligible for a refund, less any non-recoverable costs already incurred.

Cancellations made within 28 days of the workshop date are non-refundable.

Where possible, we will endeavour to transfer the booking to an alternative mutually agreed date. Any transfer is subject to our availability and may incur additional costs.

Individual delegates are not entitled to refunds, as bookings are made on behalf of the commissioning organisation.
Transferring to Another Study Day
Transfers are subject to availability and must be requested in writing.
The following transfer charges apply:

More than 4 weeks: FREE
-
2 - 4 weeks: 25%
-
Less than two weeks: 50%
Only one transfer is permitted unless otherwise agreed.
Transferred bookings must be used within six months of the original workshop date.
Transfers are subject to availability.
Delegate Changes
The booking organisation may substitute delegates at any time before the workshop begins, provided we are notified in advance where certificates are to be issued.
Workshop Cancellations by Us
Occasionally circumstances beyond our control may require us to postpone or cancel a workshop.

Where this happens, we will work with the booking organisation to arrange an alternative date or, where appropriate, provide a refund of any fees paid.
​
Our liability is limited to the fees paid for the workshop. We are not responsible for travel costs, accommodation, loss of earnings or any other consequential expenses incurred by delegates or the booking organisation.
Non-Attendance
If you fail to attend without notifying us, no refund or transfer will be available.
​
If you arrive late or miss a significant proportion of the workshop, we reserve the right to refuse attendance where we believe insufficient learning can be achieved. In these circumstances, no refund will be payable.
Group eLearning Bookings
Submitting an NHS Group eLearning Enquiry
Group Organiser
​
Each group booking must nominate a named organiser.
​
The organiser is responsible for:
​
-
collecting payments from participants;
-
providing learner details;
-
ensuring participants understand the course requirements and deadlines.
​
Course Activation
​
​From the date of activation, learners have 7 weeks to complete the course unless otherwise agreed in writing.
​
We strongly recommend completing all learning within the first six weeks to allow adequate time for assessment and any required amendments.
​
Individual Learning
​
Although learners may practise massage and compress techniques together, all quizzes, written work, assessments and scenario responses must be completed independently.
​
Each learner must submit their own work and demonstrate their own understanding.
Practical Assessments
​
Where photographs or videos are required for assessment, learners must provide their own volunteer.​ The volunteer does not need to be pregnant and may be another learner, friend or family member.
​
Assessment media will never be published without explicit consent.
Individual Accounts
​
Each learner must register using their own name and email address.​ Course accounts, access codes and learning materials are for the registered learner only and must not be shared or transferred.
​
Certificates will only be issued in the registered learner's name.
Online Courses & eLearning
Course Access
​
Access begins when the learner first activates the course.
​
Unless otherwise stated, access remains available for seven weeks.
​
Failure to complete the course within this period does not entitle the learner to a refund.
​
Extensions
​
Extensions may be granted at our discretion where exceptional circumstances exist.
​
Any extension request must be submitted before the original course expires.
​
Additional fees may apply.
​
Assessments
​
Learners are responsible for completing all assessments within the course access period.
​
Where assessment submissions require amendment, reasonable opportunities to resubmit may be offered within the course duration.
​
We reserve the right to request further evidence of competency before issuing certification.
Artificial Intelligence (AI)
​
Assessment submissions must represent the learner's own knowledge and understanding.
​
The use of artificial intelligence tools, including ChatGPT and similar services, to generate assessment answers, written submissions or reflective work is prohibited unless expressly authorised by us.
​
Where we reasonably believe submitted work is not the learner's own, we reserve the right to:
​
-
reject the assessment;
-
require a new submission;
-
withhold certification; or
-
terminate course access without refund.
​​
Academic Integrity
​
Learners are expected to complete all assessments honestly and independently.
​
All submitted work must be the learner's own and demonstrate their own knowledge, understanding and practical competence.
​
The following are considered academic misconduct:
​
-
copying or substantially reproducing another person's work;
-
submitting work generated wholly or partly by artificial intelligence without our prior written permission;
-
allowing another person to complete assessments on your behalf;
-
sharing assessment answers with other learners;
-
plagiarism from books, websites or other published sources without appropriate acknowledgement;
-
falsifying practical assessments or evidence of competency; or
-
any other attempt to gain certification dishonestly.
Where we reasonably believe academic misconduct has occurred, we reserve the right to:

reject the assessment;
-
require the learner to resubmit work;
-
request additional evidence of competency;
-
withhold certification;
-
suspend or permanently terminate course access; and
-
refuse future enrolment on any Aromatherapy for Childbirth course.
Any decision will be made fairly, taking into account the available evidence and giving the learner an opportunity to respond where appropriate.

Complaints & Appeals
​
We are committed to delivering high-quality training and fair assessment.
​
If you are dissatisfied with any aspect of your course or assessment, you should contact us as soon as possible by emailing info@aromaforbirth.com.
​
Complaints
​
Complaints regarding customer service, course delivery or administration should normally be submitted within 28 days of the issue arising. We aim to acknowledge complaints within five working days and respond as promptly as reasonably practicable.
​
Assessment Appeals
​
If you believe an assessment decision has been made incorrectly, you may request a review by providing details of the assessment and the reasons for your appeal.
​
Appeals must normally be submitted within 14 days of receiving your assessment outcome. Assessment decisions will be reviewed by an appropriately qualified assessor who was not directly involved in the original decision wherever reasonably practicable.
​
Our decision following the appeal review shall be final.
​
Nothing in this procedure prevents a learner from exercising any statutory rights available under UK law.
​
Technical Requirements
​
Learners are responsible for ensuring they have suitable internet access, compatible hardware and appropriate software required to access the course.
​
We are not responsible for interruptions caused by the learner's equipment or internet connection.
​
Certification
​
Certificates are issued only after all course requirements have been successfully completed and all assessments have been passed.
We reserve the right to withhold certification where course requirements have not been met.
Shop

Our website shop is operated by Time Wellness Ltd.

By placing an order, you confirm that the information provided is accurate and complete. You are responsible for checking your order before submitting it.
​
Payment
​
Full payment must be received before goods are dispatched. Payments are securely processed through Square. We do not store your credit or debit card details.
​Prices

All prices are shown in Pounds Sterling (£).
​
We reserve the right to amend prices at any time before an order is accepted. If an obvious pricing error is identified after an order has been placed, we reserve the right to cancel the order and issue a full refund.
​
Delivery
​
Estimated delivery times are provided as guidance only. Risk in the goods passes to the customer upon delivery. Please notify us promptly if your order arrives damaged or is lost in transit. Please refer to our Shipping & Returns Policy for further information.
​Consumer Rights
​
​Nothing in these Terms affects your statutory rights under UK consumer protection legislation.
General Terms
Eligibility
Our courses are designed primarily for registered healthcare professionals working within maternity services. Other professionals and individuals with an interest in pregnancy, birth and aromatherapy are welcome to enrol unless otherwise stated.
​
Some courses or certifications may have additional eligibility requirements.
​
Professional Certification & CPD
​
CPD recognition and professional certification are available only to learners who satisfy the eligibility criteria published for the relevant course.
​
Where applicable, this includes registered NHS midwives or other appropriately qualified healthcare professionals using a valid NHS email address.
​
Learners who do not meet the published eligibility criteria, including doulas, birth workers and members of the public, may receive a Certificate of Completion confirming successful completion of the course. A Certificate of Completion confirms participation and understanding of the course content. It does not confer professional status, clinical competency, authority to practise aromatherapy professionally or eligibility for professional insurance.

Learners are responsible for ensuring they hold any professional qualifications, registrations and insurance required to use aromatherapy within their own scope of practice.
​
Learner Conduct
​
We are committed to providing a safe, respectful and professional learning environment.
​
We reserve the right to refuse, suspend or terminate access to any course or workshop where we reasonably believe a learner has:
​
-
behaved in an abusive, threatening, intimidating or harassing manner;
-
acted dishonestly or fraudulently;
-
deliberately disrupted teaching or assessment;
-
shared course materials or account access without permission;
-
breached these Terms & Conditions;
-
compromised the integrity of the course or assessment process;
-
engaged in behaviour likely to damage the reputation of Aromatherapy for Childbirth; or
-
otherwise demonstrated behaviour that makes continued participation inappropriate or unsafe.
Where access is withdrawn for these reasons, no refund will normally be payable.

Right to Refuse Enrolment
​
We reserve the right to decline any booking or refuse enrolment where we reasonably believe acceptance would not be in the best interests of our learners, staff or business. This may include, but is not limited to, circumstances involving abusive or threatening behaviour, repeated harassment, fraudulent activity, conflicts of interest, previous serious breaches of these Terms & Conditions, or where a relationship has broken down to such an extent that a constructive learning environment cannot reasonably be maintained.

Decisions will not be based on protected characteristics under the Equality Act 2010. Where appropriate, any fees paid will be refunded in accordance with these Terms & Conditions.
​
Professional Suitability
​
Completion of a course does not automatically indicate suitability to practise aromatherapy professionally.
​
We reserve the right to refuse certification where we reasonably believe a learner has failed to demonstrate the knowledge, competence, professionalism or safe practice expected for the relevant qualification.
​
Reasonable Adjustments
​
We are committed to supporting learners with disabilities, learning difficulties and other additional needs wherever reasonably practicable.
​
Learners requiring adjustments should notify us before the course begins so appropriate arrangements can be considered.
​
Intellectual Property
​
All course materials, videos, presentations, downloads, manuals, assessments, photographs, graphics and website content remain the intellectual property of Aromatherapy for Childbirth or our licensors.
​
These materials are provided solely for personal educational use.
​
They may not be copied, reproduced, distributed, shared, published, uploaded, sold, adapted or used for commercial purposes without our prior written permission.
​
Account Misuse
​
Course accounts are licensed to individual learners only.
​
Sharing login details, allowing another person to complete assessments, reproducing course content or otherwise misusing the learning platform may result in immediate suspension or permanent termination of access without refund.
​
Legacy Bookings
​
Aromatherapy for Childbirth is not responsible for agreements, bookings, refunds, course enrolments or contractual obligations entered into by previous owners or operators of the business unless expressly agreed by us in writing.
​
Any goodwill gesture, replacement course, refund or alternative arrangement offered by us is entirely at our discretion and does not create any ongoing contractual entitlement.
​
Medical Disclaimer
​
Our courses, products and educational materials are provided for educational purposes only. They are not intended to replace advice from a doctor, midwife or other appropriately qualified healthcare professional.
​
Users remain responsible for exercising their own professional judgement and working within their professional scope of practice.
Anyone using essential oils should follow all safety guidance, contraindications and product instructions and seek appropriate medical advice where necessary.
​
Liability
​
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability which cannot legally be excluded.
​
Subject to the above, our total liability arising from any booking, purchase or course shall not exceed the amount paid by the customer for the relevant course or product.
​
We are not liable for indirect or consequential losses including loss of earnings, business interruption, loss of opportunity or reputational damage.
​
Force Majeure
​
We shall not be liable for delays, interruptions or cancellations resulting from circumstances beyond our reasonable control, including severe weather, illness, industrial action, failure of utility services, internet outages, government restrictions or other unforeseen events.
​
Privacy
​
Your personal information is processed in accordance with our Privacy Policy. By using our services you agree to the collection and processing of your personal information as described in that policy.
​
Changes to these Terms
​
We may update these Terms & Conditions from time to time. The version published on our website at the time of booking or purchase will apply.
​
Governing Law
​
These Terms & Conditions are governed by the laws of England and Wales. Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
